Everything you need to know about working with Studyworks — scheduling, sessions, billing, and policies — in one place.

Scheduling Lessons

To arrange a lesson, message your tutor directly using the contact information provided in your welcome email. You and your tutor will find a time that works for both of you — there is no centralized booking system to navigate.

We recommend establishing a regular weekly schedule so that your tutor can hold consistent slots for you. If you ever need to adjust your recurring time, coordinate directly with your tutor as far in advance as possible.

How Sessions Work

All sessions with our tutoring team take place over Zoom. Your tutor’s personal Zoom link is included in the welcome email you received when you started. If you can’t locate it, reach out to your tutor and they will resend it.

Sessions are one hour unless you and your tutor have arranged otherwise. Please join on time — the session window does not shift for late arrivals, and your tutor’s schedule may not allow them to extend past the original end time. If a student has not joined after 15 minutes, the session is marked as a late cancellation and billed in full.

Preparing for Sessions

A little preparation goes a long way toward getting the most out of each session.

  • Use a computer or laptop with a working camera and microphone — phones and tablets make it difficult for tutors to share materials effectively.
  • Find a quiet, well-lit space with minimal distractions. A desk or table is ideal.
  • Have any relevant school materials nearby — textbooks, class notes, past tests, or assignments your tutor has asked you to review.
  • Complete any homework or practice your tutor assigned since the last session. Tutors build each lesson on prior work, so arriving prepared means the hour is spent moving forward, not catching up.

Lesson Notes

After each session, your tutor will send a summary of what was covered, along with any homework or recommended practice. Please allow up to 24 hours for notes to be delivered — tutors often have back-to-back sessions and need time to write thorough, useful recaps.

Progress & Communication

Lesson notes are sent to both students and parents after each session, so you always know what was covered and what’s coming next. If you’d like to adjust who receives these notes, let your tutor know.

If you’d like a broader progress update — how your student is tracking against goals, which areas still need work, or whether it’s time to adjust the plan — you can request a check-in with your tutor at any time. We also encourage families to schedule a brief progress call every four to six weeks, especially during active test-prep cycles.

If at any point you feel the tutor match isn’t the right fit, please reach out to us. We will arrange a reassignment with no friction and no awkward conversations — finding the right dynamic matters, and we would rather get it right than force a pairing that isn’t working.

Cancellation & Rescheduling

We require at least 24 hours’ notice to cancel or reschedule a session. Sessions canceled with less than 24 hours’ notice are billed in full.

We understand that unexpected things come up. This policy is not about being rigid — it exists to protect our tutors’ livelihoods (a canceled slot is time they cannot recover) and to maintain reliable availability for every family we work with. When sessions are canceled responsibly, those slots can be offered to other students on short notice, which benefits everyone.

Billing & Payments

You will receive an itemized invoice every two weeks. Each invoice lists every session held during that period, along with any applicable package discounts. Invoices can be paid by credit card, ACH bank transfer, or a number of other payment methods.

  • Do not pay your tutor directly. All payments are processed through Studyworks.
  • Invoices are due upon receipt. If you need to discuss a payment timeline, contact us before the due date.
  • You will never see a charge that was not itemized on your invoice. No surprise fees, no signup costs.

Rates & Packages

Below are our current rates. Every student receives the same full suite of tools and resources regardless of package size — packages simply offer a per-session discount.

  • Standardized test prep (tutoring team): $110/hour, or $99/hour with a 10-session package (10% off), or $93.50/hour with a 20-session package (15% off).
  • Academic tutoring: $85/hour.
  • Sessions with our founder, Julio Machado: $185/hour.
  • College admissions consulting: $13,400 for the comprehensive program.
